IT asset management by The Open[n] Group

Upload your existing spreadsheet and see every employee, device, licence and upcoming return or warranty in one place.

Then issue equipment with a receipt, get it back when people leave, and see warranties and renewals before they lapse.

Free for up to 50 assets, no card. Paid plans from $19 a month. Employees are never charged for.

Asset list: every device with its tag, serial, who holds it, where it is, its status in words and when its warranty ends.

What changes on day one

One record for every device, and a clear answer to who has it.

  1. Set up in fifteen minutes, from the sheet you already have

Upload your employee list and asset register as CSV or Excel, whatever the column names. Match the columns once, then see what will be added, what will change, which rows look like duplicates and which have errors, before anything is saved.

A team with 50 people and 100 devices can import, fix the flagged rows and issue its first laptops in one sitting, without calling anyone.

Import check: before anything is saved, the import shows 97 new records, 13 updates, 4 possible duplicates and 2 rows with errors to fix or skip.
  2. Know who has what, and since when

Every device has one record: who holds it, where it is, its condition and every hand-over before this one. Nothing is overwritten; each change is kept with who made it and when.

Issue equipment with a receipt the employee accepts from their own email. Print a QR label, and scan it with a phone camera to open the record.

Handover receipt: the items issued to Asha Verma with tags, serials and condition, the words she accepted, and when she acknowledged them.
  3. Exits close only when everything is back

When someone leaves, their exit lists every device, accessory and software seat they hold. An email saying “returned” does not count: an item is back when someone on your side checks it in.

The exit stays open until each item is received, or written off with a reason. Disputes and missing items stay visible instead of disappearing into a closed ticket.

Exit case: Rohan Mehta's exit lists every device, accessory and licence seat; three are back, two are open, and the case cannot be closed until they are received or written off with a reason.
  4. See software spend without guessing

Label every app as paid, free, open source or unapproved. Track seats, owners and renewal dates, and see the paid seats nobody is using.

When there is no evidence either way, the app is marked “Review needed”. Open source is not assumed to be free to use, and an unknown licence is never called piracy.

Software list: each app labelled paid, free, open source, unapproved or review needed, with seats used and renewal dates.

We will never tell you a laptop is locked when it is not.

A record in a database cannot stop anyone signing in to a laptop. This is what Openn Assets does about an unreturned device today, and what it does not.

  • What it does on every plan

Marks a device as not returned, opens a case, reminds the employee and their manager, and removes the person’s access to Openn Assets. None of this locks or switches off the computer.

  • What stays with your own tools

The exit checklist reminds you to turn off the person’s company accounts where you manage them. Sign-ins already saved on the laptop can keep working offline until you do.

  • What is not included

Remote screen lock, login blocking and wipe. These only work on devices already enrolled in device management, on systems that support them, while the device is online. They will come as a separate add-on, and only after testing on each system.

Questions

Before you start

Do employees need a paid seat?
No. Employees are never counted or charged for. They get an email to accept what they were given and can see what they hold. Only the people who run the inventory need an admin login.
Do we have to install anything on laptops?
No. Openn Assets runs in the browser and works from the records you keep. Nothing is installed on your devices.
Can we get our data out?
Yes, on every plan including Free. Export your assets, people and history to CSV whenever you like. Your records stay yours if you stop paying or leave.
Where is our data kept?
On Google Cloud in the United States, with Cloudflare in front. The security page explains how it is protected.
Can we host it ourselves?
Yes, as part of an Enterprise agreement, on your own servers or a private cloud. Write to us with the size of your estate.
Can we try the paid features first?
Yes. Growth is free for 14 days, with no card. When the trial ends you keep your data and move to Free unless you choose a plan.

Bring the spreadsheet you have.

Import it, issue your first laptop, and decide later whether you need a paid plan.
